Streamlining credit card reconciliation process : A UI/UX case study

As I joined itilite as a product designer, I undertook the task of designing a credit card reconciliation feature for their expense management product. My focus was to create an effective solution that would allow HR and finance administrators to reconcile employee credit card statements with their expenses, simplifying and saving time on manual reconciliation

About company

ITILITE is a B2B corporate travel and expense platform that deals with managing a company's employee's travel and expense they make on the Company's credit card or reimbursement. It aims to reduce spending of client's companies while keeping their employees safe and happy. Companies that use our services comprise OLA, CROMA, BYJUS, SWIGGY, and many more.

About the user

  1. Comfortable using computers and software: As a finance or HR administrator, this user is likely to be proficient in using computers and software such a MS excel etc to manage expenses and financial data.

  2. Organised and detail-oriented: This type of user is likely to be organised and meticulous in their work, with a focus on accuracy and completeness.

  3. Experienced with financial management: This user is likely to have experience managing financial transactions and reconciling accounts.

  4. Time-conscious: This type of user is likely to value efficiency and productivity, and may be under pressure to manage a large volume of transactions in a short amount of time.

  5. Concerned about security: As someone who handles sensitive financial information, this user is likely to be concerned about the security and privacy of their data.

Competitive Analysis

I did competitive analysis to identify existing design patterns and common industry practices. I studied user flow of all kinds of expense, Payroll, banking platforms to understand how the platforms have approached to make the experience seamless and intuitive.

We have access to credentials of some these platforms but for others, I checked the demo of this feature on their website or YouTube channel

Although, these platforms share similarities in terms of functionality, but they differ in their approach and UI .

Information architecture

It was started by building IA as it's a blueprint of the design structure which can be further generated into wireframes and sitemaps of the project. It will further help me organize the information into groups and prioritize the localization of the elements. It also helps to think of what kind of action users will encounter on each page.

Dashboard

  1. Get an overview: The dashboard should provide an overview of all credit card transactions made during a specific period, including the date of each transaction, amount spend, submitted, approved and to be reconciled.

  2. Payment status: It include information about the payment status of each transaction, such as whether it has been reconciled, pending, or disputed.
